Complaints

If you have a complaint about Reprobel, you can submit it in two ways:

  • Either by sending a letter to the registered office of Reprobel cv (Havenlaan 86C – 201 A, 1000 Brussels)

  • Or via our online contact form

You should address your complaint to the CEO Reprobel, Mr. Jean-Paul Langhoor – Beitia.

Reprobel only handles written or electronic complaints. Reprobel does not respond to oral or anonymous complaints, and generally not to the outright nonsense about us or about copyright that you may read here and there on social media. That’s because we have much better things to do: ensuring that authors and publishers receive fair compensation for the reuse of their copyright-protected texts and images, including in today’s digital world.

You can file a complaint with Reprobel both when you are claiming compensation as a rights holder, and when you are required to pay compensation or are requested to make a declaration.

If you are a legal entity, the complaint must be submitted by someone who is authorized to legally represent you. In this case, it is also helpful to mention a contact person.

Your complaint must include your full name, your address / registered office, your direct phone number, your email address, your company details (company number, legal form, etc.), and preferably also your Reprobel number.

Clearly describe your complaint. Ideally, include all relevant documents with your complaint. Reprobel may request additional information or documents from you.

Reprobel will send you an acknowledgment of receipt within five working days after receiving your complaint. This will either include an immediate response to your complaint or indicate when you can expect a reply and what the next step in the procedure is.

Reprobel will generally respond to your complaint within one month of submission. In exceptional cases, this period may be extended by a maximum of one month. If that happens, Reprobel will explain the reason for the extension.

Reprobel will respond to your complaint in writing or electronically.

Reprobel guarantees that your complaint will be handled efficiently and that you will receive a clear response. This does not necessarily mean that you will be found to be in the right, but it does mean that your complaint will be answered objectively and in a legally correct manner.

If Reprobel rejects your complaint (or parts of it), it will provide reasons for doing so.

The legal provisions regarding the complaints procedure can be found in Article XI.273/1 of the Code of Economic Law.
